How Wedding Date Availability Works at Legacy Ranch

A clear explanation of how dates are secured and why we do not tentatively hold availability

We want to be clear and transparent about how wedding date availability works at Legacy Ranch, especially during the proposal review stage.

Because we often have multiple open proposals at the same time, we are not able to tentatively hold dates without a signed contract and non-refundable retainer.

This page explains what that means, why we operate this way, and how couples typically navigate the decision process.

Why we don’t tentatively hold dates

We regularly work with several couples who are exploring similar dates, seasons, or weekends. Holding dates without commitment would prevent others form moving forward and create confusion around availability.

For that reason:

  • Date remain available until a contract is signed

  • Availability is confirmed only once a retainer is received

  • Open proposals do not reserve a date

This approach keeps things fair, clear, and consistent for everyone.

What an open proposal does (and doesn’t) mean

When you receive a proposal, it means:

  • Your date is currently available at the time the proposal is sent

  • You are welcome to review the details, ask questions, and take time to decide

It does not mean:

  • The date is being held

  • The date cannot be booked by another couple

  • Availability is guaranteed without a signed agreement

We know this can feel different from other vendors, which is why we want to explain it clearly.

How dates are secured

A wedding date is officially secured once:

  • The contract is signed, and

  • The non-refundable retainer is paid

Until both steps are complete, the date remains available and may be booked by another couple at any time.

We encourage couples who feel confident about moving forward to secure their date as soon as they’re ready.

A note on timing and confidence

Most couples use the proposal review period to:

  • Confirm priorities

  • Talk through logistics

  • Make sure the venue feels like the right fit

When those pieces are in place, securing the date often brings a sense of relief and momentum. If you’re still unsure, it’s completely okay to take time to decide, knowing availability may change.

There is no pressure either way. We simply aim to be clear about how the process works.
